Admissions & Enrollment

NEXT School Year: 2012-2013

The Parent Information Meetings for the 2012-2013 school year were held on Wednesday, February 1, 6:00-8:00 PM and Saturday, February 4, 10:00 AM-12:00 PM. If you were unable to attend a meeting, please stop by the office to check out a DVD that reviews some of the unique elements of the Village School curriculum.

You are welcome to complete an application for enrollment for the lottery for the 2012-2013 school year. On the line that asks which parent or guardian attended a Parent Information Meeting, please note whether you have already been to a meeting or have checked out a DVD from our office. If you have specific questions, please contact our office at 541-345-7285.

The deadline for all applications for the lottery is March 8, 2012. Any application turned in after March 8, 2012 will NOT be included in the lottery. The lottery will be held in the office on March 15, 2012.

If your child receives a place in a class, you will be called on March 15, 2012. If your child receives a place on the waiting list, you will be mailed a notecard. All results from the lottery will be posted outside of the school office in the late afternoon on March 15, 2012. You are welcome to call and inquire as to your child's location on the waiting list. Again, if you have specific questions, please contact our office at 541-345-7285.

The Village School maintains an enrollment process and lottery independent of District 4J and is not included in the 4J School Choice process.

Parent Information Meeting for Grades 7 & 8

For parents with students entering 7th or 8th grade, there is a special Upper Grades Parent Information Meeting on Wednesday, February 22, 6:00-7:30 PM. The Upper Grades meeting is open to students and sign up is not necessary. This meeting will take place in the 7th and 8th grade classrooms. The meeting will include a review of the upper grades program and an opportunity to ask questions of alumni students and parents.

The lottery for the 2011-2012 school year was held on Tuesday, March 15th. Most grades are full and have waiting lists. Grades 4, 5 and 6 have openings. If you would like to apply for enrollment or to add your student to a waiting list, please complete an application for the 2011-2012 school year lottery and email, fax, or send it to our school. Please call the office with questions.

It is important that you list on your application which Parent Information Meeting you attended. If you were unable to attend a Parent Information Meeting in February of 2011, we ask that you come to our school office to get a brochure and check out a short DVD about our unique school. Please note this on your application.

It is very important that all applicants become familiar with the school’s educational approach and be willing to support their children’s full participation in all school activities. If you have any questions, contact our office at 541-345-7285.

Lottery
In the event that there are more applicants than spaces available in a class, a lottery will be held to distribute the spaces fairly. The Village School maintains an enrollment process and lottery independent of District 4J and is not included in the 4J School Choice process. The lottery for the 2011-2012 school year is on March 15, 2011. We will notify by phone all students placed into a class, and we will mail notecards to students placed on the wait list. It is very important that phone numbers and mailing addresses listed on enrollment applications are up-to-date.

Out of District Enrollment
Proof of residency is required for all enrolling students. Students must be current residents of the 4J district to be placed on an in-district list. The Village School's enrollment policy requires applicants from within the 4J School District be given the first opportunity to enroll in available spaces at the school. However, Oregon's charter school law allows students to apply to the school from outside of the school district without an inter-district transfer, and at no cost. Applicants from out-of-state who are planning to relocate to Eugene will be placed on the out of district list until they become 4J residents.

Wait List
The wait list does not carry from the previous year. Applicants must apply each year. When the school receives notice that a student is withdrawing, staff will consult the wait list to fill the space. Parents will be given 48 hours to respond to the offer. Therefore it is very important to update your phone numbers throughout the year. If we are unable to reach you or do not receive a response, we will move down the wait list. Please note that once the classes begin in the fall we will be give 24 hours in order to expedite filling the class.

Parent Information Meetings
It is strongly recommended that all prospective parents attend a meeting to become familiar with the school’s educational approach and be willing to support their children’s full participation in all School activities.

Siblings
Siblings of children currently enrolled at the school are given the first opportunity to enroll in classes for the upcoming year, provided that the family apply for enrollment during the re-enrollment period prior to the lottery date and provided that there is space in the class. If the class is full, siblings are placed at the top of the wait list before the lottery occurs. 

Class Cap Policy
The Village School class caps will be set by majority vote of the Board of Directors every year in January for the coming school year and may be reviewed or reset by a majority vote of the Board based upon budget. Students will be added to each class until it is full to capacity throughout the year from the waiting lists, on a first come, first served basis.

The Board may determine from time to time by majority vote that a class be closed to new enrollees in order to preserve the educational and social integrity of the particular class. Notwithstanding the policies set forth above, the 8th grade class will be closed to new enrollment each year on November 1st, unless the majority of the board votes to reopen the class to enrollment for financial or other reasons not specified here.
